Smart Event

The challenge

In the event management industry, coordination across inventory, venues, suppliers, finance and logistics tends to be decentralized and chaotic. Our client needed a robust, scalable solution that brought the entire operation together in one place. The task was not to digitize isolated processes but to cover the full operational spectrum: from tracking a single inventory item to planning the logistics of a stadium, including the weather forecast for the days of the event.

The solution

We designed and built Smart Event, an end-to-end platform with a multi-level access architecture and multi-company operation. A super administrator creates users, roles and companies and audits the access history with date, time and IP address; each company, managed by its own administrator, has visibility into its schools, venues, users and the weather tool. On that foundation we built the full event lifecycle: inventory and warehouses, geolocated venues, planning and execution, finance and suppliers, and monitoring with analytics, complemented by a mobile app version for field logistics support.

What we built

• A dynamic roles and permissions module per employer or supplier, with user creation, editing, activation, deactivation and deletion.
• Warehouse management covering location, capacity, assigned owner and status, plus tracking of inventory movements between warehouses.
• A product and service catalog with codes, categories and costs, custom units of measure in hours, kilograms or liters, and maximum stock and reorder point alerts.
• Venue registration categorized by Colombian department and municipality, with an interactive map that captures latitude and longitude automatically.
• Automated weather forecasting for event dates, driven by the venue's geolocation.
• Venue infrastructure detail: parking, internal spaces with capacity and contacts, and supporting documents in PDF or image format.
• Event creation across formats (summits, trade shows, concerts, panels) with automatic venue availability validation, on-site, virtual and hybrid modes, and a lifecycle running from draft to planning or cancellation.
• Resource assignment per event: spaces, the responsible owner, and products or services flagged as owned, borrowed or rented.
• A finance module with income, expense or mixed accounts, financial concepts, and logging of additional operating expenses.
• A supplier portal where vendors define their services, review assigned events, and submit or validate quotes with validity dates and line items.
• A task and incident module connected to the mobile app, capturing urgency, attachments and resolution status.
• An alert engine driven by thresholds for budget limits, unresolved incidents and minimum task progress.
• Dashboards for event efficiency and incident distribution, with reports and history exportable to PDF and Excel.
